Etsy print-on-demand launch checklist for Canadian sellers

Prepare one Etsy POD listing with a verified product, production partner, shipping origin, CAD margin, and cash buffer before expanding your Canadian shop.

Start with one listing you can fulfill confidently

A connected supplier account is not a finished launch. Before publishing a catalog, build one complete product record that connects your artwork, the exact supplier variant, the buyer-facing listing, and the money needed to fulfill an order. This checklist is a practical review workflow, not Etsy approval or a promise of sales.

Choose a representative product and primary buyer destination. Keep the checklist open while you work; mark a step complete only when you have the supporting file, quote, setting, or sample result. An unanswered question is a launch task, not something to hide in a generic description.

1. Check the design and disclose production help

Etsy's Creativity Standards allow a seller's original design to be produced by a third party, subject to its policies. Its production-partner guidance requires disclosure on the relevant listings. A supplier integration does not replace that review.

Keep your editable artwork and any permissions or licences relevant to its elements. Record what you designed and what the partner makes. Check the partner entry against the actual production arrangement; do not describe an external printer as an in-house workshop.

2. Make the product and images tell the same story

Save the blank, material, size chart, colour, print area, and variant identifier. Order a representative sample and compare its dimensions, placement, finish, packaging, and care results with your intended description. Remove variants you have not configured correctly instead of leaving a misleading choice available.

Etsy permits stock mockups for original artwork printed onto a base item by a production partner. Buyer-personalized products have stricter first-image rules: show a finished customized example, not a blank or placeholder. Review the official image policy for your product type.

  • Check the thumbnail on a small screen: can a buyer identify the product without reading tiny text?
  • Ensure the image does not imply embroidery, extra print areas, included accessories, or a garment colour that the selected variant does not provide.

3. Set shipping from the actual production route

Your Canadian shop address does not establish where a parcel starts. Etsy asks for the actual origin postal code and uses processing information alongside carrier transit information for delivery estimates. Verify the exact product route before copying a shipping profile.

Inspect the listing as a buyer in your main Canadian destination and, if offered, a US destination. Record shipping charges, available variants, and the displayed delivery window. Repeat after a provider or product change. Do not substitute a carrier's transit estimate for the complete production-plus-delivery timeline.

4. Pass both the margin test and the cash test

First compare the buyer price with marketplace fees and the complete supplier quote in CAD. Then check when those amounts move. Etsy distinguishes pending earnings from funds eligible for deposit, and account circumstances affect timing. An order can have a positive margin while its proceeds remain unavailable.

For a workflow where you fund production separately, use the cash-flow calculator with net receipts before supplier costs. Test your expected order pace and a slower-payout scenario. If your starting cash does not cover the peak gap, resolve that constraint before increasing the number of listings or promoting the shop.

5. Keep a launch record and clear stop conditions

Save the listing preview, supplier quote date, sample notes, shipping settings, and support process together. Confirm who handles a misprint, lost parcel, address correction, and replacement request. Use your own customer policy only after understanding what the supplier will actually cover.

  • Ready to publish: the sample matches the listing, variants map correctly, the shipping route is known, and the modeled order pace is funded.
  • Pause and revise: the displayed origin is wrong, costs rely on an unconfirmed discount, images overstate the item, or there is no plan for a failed delivery.
  • After launch: inspect the first genuine orders and reconcile their supplier charges and payouts. Record exceptions before expanding to more products.
